What we build

• Email handling. Incoming mail is read, sorted and, where possible, answered from your own knowledge. What a person needs to see arrives with a proposed reply.
• Document processing. Invoices, contracts and forms are extracted and pushed into your accounting or file system, whatever the layout.
• Quotes. A request in plain language becomes a quote built on your own prices and rules.
• Assistants on your own documents. Customers or staff get answers from your manuals, contracts and procedures, with a human handover when needed.
• Assessment. A file, website or request is checked and scored automatically against your own criteria.

For Holdwise we built an assistant that answers from a knowledge base of over a thousand articles, and a form that works out for 243 countries which documents a client needs. The Ovolum AI scan checks a website on twenty points and emails a report within a minute.

Fixed prices, agreed in writing before we start. No platform subscription; you pay only your own hosting and the AI model you choose.

Why own code on your own hosting

Most agencies build AI automation on connector platforms such as Zapier, Make or n8n. Quick to set up, but you pay every month, your data passes through their servers, and leaving means starting over.

Ovolum writes its own code. It runs on your hosting, your data stays with you, and everything is documented so any other developer can take over. That matters for the GDPR and for the EU AI Act, which since August 2026 requires that you can explain what your AI does and that people know when they are dealing with AI. With your own code you can show that; with a middle platform you cannot.

For international companies in the Netherlands

Ovolum works in English, from Hoofddorp, next to Amsterdam Schiphol. Many of our clients are foreign founders and companies that have just set up a Dutch entity and need their processes to run without a large local team. Data stays within the EU; you choose the AI model, including European providers. If you are still setting up your Dutch company, our partner Holdwise handles incorporation and tax in English.

When it pays off

AI automation pays back through repetition. If a process costs your company two to four hours of manual work per week or more, a first process usually pays for itself within a year. If a task comes up a few times a month, we will tell you so and advise against it. We run that calculation with you upfront, in plain hours and euros.

How a project runs

1. Conversation. You show us the work that comes back every week. We calculate cost and return.
2. First version. Within two to four weeks a working version of one process runs on your hosting with real data.
3. Shadow mode. For two weeks the AI runs alongside your people. What it gets right goes live; what it gets wrong is adjusted.
4. Live and expand. Then the next process. Each is a scoped piece of work with its own price.
